Virtual Conference FAQ & Tips

We realize that our virtual conference platform is new for everyone. To provide some quick references we’ve created the FAQ and help items below. If you still need help, or it’s just easier to contact us, email AHF staff at info@healthcarefoodservice.org.

How do I Obtain my CEU’s for Attending?

How do I claim my CEUs?

AHF’s Virtual Conference is accredited through ANFP, AND, and ACF for attendees and members to obtain. Be sure you watch all of the recorded sessions and archived live sessions to earn your continuing education credits and print off a copy of your certificate. Certificates will not be issued until you have completed all the sessions. You are required to participate in all of the courses to earn the total CEUs (17.5 Hours). After you complete the sessions, you will receive a certificate of completion via email or can access it by going to My Certificates.

— Our system will track your progress and your earned CEUs. Please be sure to watch the full recording to receive credit.

— Recorded sessions will be available to complete until November 30th – so you have some time left.

— All live sessions are now available as recorded sessions – If you did not attend any live sessions, you will need to watch them as recorded sessions to receive credit.

— The virtual conference platform will remain open to explore until October 1st. Following that you can access all recorded sessions from the conference website.

If you get towards the end of the allowable time period to complete sessions (November 30th deadline), and have not completed all sessions, you can email our staff to receive a partial certification of completion for the courses you did complete. Please email us at info@healthcarefoodservice.org in that instance. Should you have questions, you can also call 1-800-899-1109.

How to Access & Use The System

How do I download the Mobile App?

You can download the mobile app by searching for “Swapcard” from your app store. You can also click these links for Android or Apple to download now. Once the app is downloaded, you will use the same login and password to login to the app. The app is a great way to stay connected and get notifications so you never miss a thing. 

I cannot access the virtual conference

If you have not already done so, please check your inbox or spam/junk folder, for our emails and login to our virtual conference platform. Having issues? See below, or email us: info@healthcarefoodservice.org

You can log in and participate online now! Be sure to download the app (Android or Apple) onto your mobile devices and set up your profile before our session(s). You can join on your desktop, laptop, or mobile device. 

How do I login?

If you have not already done so, log in HERE by entering the email address you registered with and creating a password or requesting a “Magic Link”. Be sure to whitelist the domains above so you get our emails. 

How do I join and watch a live session?

A few minutes before the session is set to begin, log in to your virtual profile and open the session in the “Agenda” tab. The live session will stream right there. It’s that easy! Use the live discussion box to chat with attendees and ask questions of our speakers.  If you don’t see a video playing REFRESH your screen. 

My computer says "Unsupported Browser" when I try yo access the system?

More than likely you are using an old and no longer supported browser such as Internet Explorer. Internet Explorer is not a supported browser. It was discontinued by Microsoft. We recommend using a modern browser such as Chrome, Firefox, Safari or others. 

I cannot get things to load in the virtual conference?

This is likely due to the strength of your internet connection. Please make sure you are somewhere that has strong internet and that your firewalls are not blocking Swapcard.com as a domain which you can access from your facility. Alternatively you can access, watching sessions, and participate from the mobile app.

How do I access and watch recorded sessions?

You can access recorded sessions anytime by clicking the quick link from the virtual conference homepage labelled “Recorded Sessions” or by clicking here.

Are live sessions available as recordings I missed one?

Yes! All our live sessions are recorded and available to watch later if you missed it so you never have to miss anything. You can access recorded sessions anytime by clicking the quick link from the virtual conference homepage labeled “Recorded Sessions” or by clicking here.

How do I vote for the culinary showcase competitors and watch their videos?

How to Network with Sponsors & Visit Booths

What should I DO during the "Live Virtual Exhibit Hall" hours/sessions?

During the live exhibit hall and tradeshow hours, our sponsor teams will be ONLINE and ready to quickly respond to any chats you send to their booth, or booth members, or hop into a video call. They will be waiting on the other end of your computer to support you.

This is a great time to chat with them live, explore their products, and download their documents.

You will enter the exhibit hall by clicking on the “Exhibit Hall” tab from the virtual conference platform, and then click into each sponsor booth by clicking on their name from the “Exhibit Hall”. Then you can see their products and document or send them a chat. During the live hours, explore each exhibitor’s booth and send them messages, or set a time to hop onto a video call. They’re waiting to network with you and spent a significant amount of time getting ready for this conference, so please help us by exploring and networking with them. This conference was made possible by their support.

How do I ask an Exhibitor a question?

You can easily ask exhibitors questions about their products, services, or just say HI using the chatbox on their virtual booth.
  1. Click on the “Exhibit Hall” tab
  2. Find the exhibit you are searching for
  3. Click on their name to enter their booth
  4. Type your questions in the chat box
  5. Click send

When is the Exhibit Hall Open?

You can access sponsor booths, products, and the exhibit hall 24/7 – during our live Exhibit Hall & Tradeshow hours, sponsors will be active and online to answer your chats, set meetings, and meet with you.

Click on the Exhibit Hall Tab to “enter” the exhibit hall. Once there, click on the name of each sponsor “booth” to enter their virtual booth. Enter the Exhibit Hall

What can I do once I have "entered" sponsor booths?

Once “inside” their booth, you can explore their latest innovations; talk to their representatives using the chatbox; download their documents; explore their products; and set a time to meet.

How can I connect with attendees?

By sending a connection request:

Access the profile of the attendees you want to connect with and click on “Connect”, tap your message and send it. The recipients will be alerted immediately. After accepting your request, you’ll get access to their contact details and they’ll have access to yours. All your contacts are displayed in the Attendees tab.

How do I book a meeting with another attendee?

To book a meeting with an attendee, visit his profile and click on “See more” in the meeting slots window. Select the time that fits for you, then select the place and add a message to your request before sending it. Once your meeting is accepted, you’ll receive a notification within the app. Get a report of all your meetings in the “My Agenda” tab by clicking on the meeting logo.

If you prefer to set a meeting for a time not listed in the available meeting times, you can simply send a written chat to your new connections(s) and agree to hop into the virtual conference at that time and then open your video camera from your chat box. 

NOTE: You need to add the attendee as a CONNECTION before you can start a video call with them. Be sure to do this before your scheduled meeting time. 

How do I book a meeting with Exhibitors?

To book a meeting with an exhibitor, visit their page visit clicking on the “Exhibit Hall” tab and then clicking on the name of the exhibitor you wish to visit with. Then select a meeting time, OR send a chat in the chatbox about wanting to set up a meeting. If you have selected a set meeting timeslot, it will send the request to the sponsor and they will assign one of their team members to meet with you. Once your meeting is accepted, you’ll receive a notification within the app, or by email. Get a report of all your meetings in the “My Agenda” tab by clicking on the meeting logo.

When the time comes for your meeting make sure you and the person you’re meeting with have added each other as connections. Then open the app/portal, and click the video icon from your chat with the person you are meeting with. The video will open within the app. 

How can I know who is member of an exhibitor?

Get access to the team members by clicking on an exhibitor page. Once you access his page, swipe down and the member will be displayed. Connect with same as like other participants.

What is the "Sponsor Products" tab?

The Sponsor Products tab is a great way to explore sponsor innovations and new products, programs or services. Use keywords to search for products/services of interest. Then visit the sponsor’s booth to chat with them to learn more. Use the top categories to filter by large topics such as “Food & Beverage” and “Equipment”. 

How to Win Prizes

How do AHF's "Engagement Games" work and how do I win prizes?

AHF Engagement Games – Here’s how to play and participate each week. You must pick and complete a minimum of 5 networking challenges each week. Networking with our sponsors is especially important to being eligible to win, so be sure to visit booths, download documents, set up meetings, or chat with them through their booths.

Once you have finished networking each week, enter your responses in a survey that AHF posts into the Networking Lounge. Complete entries must be submitted by Monday and will be entered in for the weekly drawing of cash prizes, registrations, and the grand prize. Winners will be contacted via email and announced in the Networking Lounge. Download the Game Card in the AHF Exhibit Booth. The Game Card is mostly a guide to help make sure you complete all the challenges for entry at the end of each week.

Each Week AHF will offer these prizes: Four $25 gift cards, One $100 Gift Card, One 2021 AHF Membership ($225 value)
